HR Christmas Checklist

HR Christmas Checklist: Make This Festive Season Stress-Free for Your Business

The festive season is fast approaching, and whether your business is gearing up for its busiest time of year or preparing to close for a well-earned break, planning ahead is key. A little organisation now will help you avoid last-minute stress, support your people, and ensure smooth operations heading into the New Year.

Here’s a practical HR Christmas Checklist to help you finish the year strong.

Plan Your Christmas & New Year Schedule

  • Confirm any Christmas/New Year shutdown dates and communicate these clearly and early. Make sure you follow any notice timeframes specified in employment agreements or policies.

  • Request leave applications early and outline how decisions will be made (e.g. first-in first-served, rotating fairness, business needs).

  • Approve or decline leave promptly and communicate clearly with staff.

  • Check annual leave balances. If someone doesn’t have sufficient leave, discuss options such as unpaid leave or annual leave in advance (if eligible and agreed).

  • Confirm public holiday entitlements. Identify who would otherwise have worked, and ensure employees understand whether they qualify for days off in lieu.

 Rosters, Customers & Operational Planning

  • Publish holiday rosters as early as practical if applicable.

  • Notify customers or suppliers of your festive season hours, final delivery dates, or operational shutdown periods.

Christmas Events & Celebrations

If you’re hosting a workplace celebration:

  • Choose an activity that will include and appeal to the widest range of staff

  • If alcohol is offered, consider limits, serving rules, or alternative options

  • Plan safe transport to reduce risk and support wellbeing.

  • Remind staff about expected conduct and what’s considered unacceptable behaviour — even at social events.

And of course — enjoy the celebration!

Staff Appreciation & Wellbeing

  • Think about how you will recognise your team’s hard work. The most meaningful gestures are often personal — Get some insights in our previous article here😊)

  • Remember that while the season is joyful for many, it can also be financially, emotionally, or socially challenging for others. Be mindful, check in, and offer support where appropriate.

  • Consider individuals who do not celebrate Christmas for cultural or religious reasons, and ensure your language and activities remain inclusive.

Wrap It Up Before the Break

  • If you’re taking time off, finish key tasks and handovers so you can switch off and recharge without loose ends hanging over you.

  • If this is your busiest season, make hay while the sun shines and look forward to your well-deserved rest afterwards!
